UCaaS stands for 'unified communications as a service.' Strip the jargon: your phone system moves from a box in the closet to the cloud, and your desk phone, mobile app, voicemail, and video meetings become one thing with one monthly per-person price.
Why small businesses switch: the closet PBX is expensive to keep alive. Service calls for simple changes run $150+, parts for aging systems get scarce, and none of it works when your team isn't in the office. A five-year-old PBX is a liability with a monthly maintenance bill attached.
What you actually get: calls that follow you (desk phone, laptop, or cell — same number), voicemail that lands in email, and a bill that scales with headcount instead of hardware. Adding a new hire is a settings change, not a truck roll.
The fear everyone has is the phone numbers. They move with you — number porting is standard, and your customers never know anything changed.
When does it not make sense? If you have one line and no growth plans, the status quo is fine. But if your system is aging, you're adding people, or you have anyone working remotely, the total cost of a cloud system is almost always lower within the first year.
A good advisor will map your current lines, handsets, and call flows before quoting anything. If someone quotes you without asking how your phones ring today, find a different advisor.
